Specific Unit Plans
The University units listed below intend to assume central responsibility for making appropriate arrangements for all related records at the closing campuses, which could include destruction, transfer to a continuing campus or University Records Center, or review by the University Archives. These units will work with campus representatives to review files for destruction/transfer; arrange for packing, transportation, or digital transfer; and designate point persons for continuing maintenance fees/support as appropriate. Please note that this list is not exhaustive, and units may be added as their plans develop:
- Development and Alumni Relations*
- Office of Finance & Business
- Housing and Food Services
- Human Resources
- Information Technology
- University Libraries
- Office of Physical Plant
- University Police & Public Safety
- Office of the University Registrar
- Office of Student Aid
- Student Disability Resources
- Undergraduate Admissions
- Office of Veterans Affairs and Services
*Development and Alumni Relations records are stored centrally; campuses should not have anything that is not already included in central files.
Office of Student Affairs
The Office of Student encompasses several sub-units, which will manage records as follows:
- Residence Life will assume central responsibility, oversight, and eventual stewardship of any/all Residence Life records at the closing campuses (Mont Alto)
- Student Fee records will be transferred to a SharePoint site owned by Commonwealth Campus Support/the Commonwealth Fee Board
- Student Conduct, Title IX, and Behavioral Threat records are already centrally administered via the Maxient system
Commonwealth Campus Athletics
The Director of Commonwealth Campus Athletics within the Office of the Vice President for Commonwealth Campuses (OVPCC) will assume responsibility for all Commonwealth Campus Athletics records.
Campus Academic Affairs
According to procedures developed by the Employees Workstream, responsibility for Promotion & Tenure (P&T) records for faculty at closing University College (UC) campuses will be determined by their campus reassignment location and the fact that their tenure home will remain within the UC. Records of faculty assigned to a continuing UC campus will accompany them to their new location. Records of faculty assigned to a non-UC campus will be transferred to a continuing UC campus designated to oversee their P&T. All other faculty personnel records will follow them to their assigned location, regardless of whether it is a UC or non-UC campus.
